How to Share and Manage Resources with your Clients and Team
What are Resources?
With resources, neumind becomes a digital resource for rehab available anytime a client needs them, no more lost worksheets or forgotten ring binders.
Resources are digital documents, educational links, or custom text that you can share directly with clients through the Neumind app. Common examples include:
- Rehabilitation booklets
- Educational links about brain injuries or specific conditions
- Homework sheets or exercises
- Instructional videos (e.g., using household appliances or completing exercises)
Supported Resource Types
Currently supported resource types include:
Supported File Types | Examples |
PDF documents (.pdf) | Documents, treatment guidelines, exercise handouts |
Images (.png, .jpg, .jpeg) | Pictures taken during therapy sessions, visual aids & prompts, diagrams and formulations |
Video (.gif) | Instructional videos, therapy exercises, mnemonics |
Website URLs | YouTube videos, contact information, online forms or surveys (e.g. google forms) |
Note: Word documents aren't currently supported but can be exported as PDFs. Additionally, for videos, we recommend uploading them to YouTube and sharing as a URL link.

Centralising rehabilitation resources digitally provides significant advantages:
- Easy access anywhere, anytime—no more cumbersome ring binders, printouts, or disorganized email threads.
- Particularly beneficial for the 80% of clients experiencing memory or executive functioning issues.
- Linked caregivers and collaborating professionals gain visibility, supporting more consistent and collaborative care.
- Easy sharing and updating of high-quality resources enhances your service’s quality and consistency.
- Notifications for clients ensure awareness of new resources, conveniently accessible alongside their therapy tasks and strategies.
How to Upload and Share a Resource
- Navigate to the Resources section on your dashboard.
- Click "Upload Resource".
- Select the file type (PDF, URL, or custom text).
- Upload the file or enter the link/text.
- Provide an optional description to help clients understand the resource.
- Choose your sharing preference:
- Only Me: Visible only to you.
- Team: Visible to your entire clinical team.
- Specific Clients: Visible only to selected clients.
- Confirm the selection and click "Share".
Note: Only professionals can upload resources.
Managing Team vs. Client-Specific Resources
- General Resources (Team): Ideal for standardized materials like handbooks or general educational content. Easily manage, update, and distribute to new clients.
- Client-Specific Resources: Perfect for tailored materials like individual homework sheets, session photos, or customized guidance. Typically set to "Only Me" unless relevant to the broader team (add a note to clarify intended use if sharing broadly).
Personalising Resources
Even when using a general resource, you can customize its title and description for individual clients to provide specific instructions or context.

Viewing Resources in the App
Clients access shared resources through their Neumind app, visible in their dedicated "Resources" tab.

External Practitioners and Family Members
- External practitioners: Practitioners added to a client’s group (not part of an enterprise subscription) can view and manage resources shared with that specific client only. They cannot access your team's broader resources.
- Family Members: Visibility by linked caregivers such as family members supports more collaborative and consistent care. (Note: We are currently confirming whether family members can view client resources.)
Note: Clearly label resources intended for specific clients to prevent confusion within the team.
Common Questions & Tips
What if my file type isn’t supported?
You can:
- Convert documents to PDF format.
- Host videos externally (e.g., YouTube) and share as a link.
- Use services like Google Docs or SharePoint and share as URLs.
Best Practices for Resource Management:
- Regularly update resources to ensure information remains current.
- Use consistent naming conventions for clarity.
- Clearly label client-specific resources.
